TOPIC: How the meetings would run and who would be part of the TIPS Team
DISCUSSION:
Were there any other reactions regarding the make up of this team.
Bill Joseph – Len and he were talking about various issues that have come up. TIPS Team core group that would have the bi-weekly meetings, such as WRCC TIPS Manager (Lou), Coordinator for each of the regions, training coordinator, budget, software manager rep, sub groups – cad team, hydro team, GIS team, mobile computing team. 13 or 14 spots on the core team group. Modify the charter adding a TIPS coordinator for each region and adding the sub group teams. Also have defined groups in the charter like software manager and etc… but it needs to put in the agenda how they would interact with each other.
Bruce had a discussion with Lou. Suggested to Lou that he needed to get with the core leadership team outside of Denver and have added in their position description (pd) and performance standards information about TIPS being part of their duties. Key players or people who are really involved would probably reduce the fact that we have lack of participation. Core competency issues – should you have a certain skill set to be on the TIPS team?
TIPS is part of the Mid-Continent region’s standards for Len, Bill, and etc.
The roles should be more clearly defined.
TOPIC: Training program
DISCUSSION:
Status reports for the training reports, call to Jessica or Karyn if you need to.
SedCad class next week in Denver and is full.
DOI Learn is one step closer to being launched.
Survey data ¾ of the data is in. In June the data will be ready, preliminary data is in, ask Karyn if you would like to view the information.
TOPIC: Software Distribution
DISCUSSION:
Image Analysis and Stereo Analyst software was sent out two weeks ago.
There is a problem with Stereo Analyst, will shut down ArcGIS right away. The thought is that it is not a graphic card problem. Susan Stoyek is working with this problem
It loads, but it will not run. LEICA has been contacted.
Software will be deployed – Bruce and Cathy spoke about it this morning. Daniel Lewis’ hard drive will be copied and plugged in to the external hard drives and downloaded onto them. Receive batch files from Harry as well. There is no way to do this fast. The IT shop does not have enough people to download the information onto ALL of the hard drives. 30 minutes for one to one – windows explorer was used from moving hard drive to laptop. This is the plan, but we need to find the resource. Mark could do this, but it is very labor intensive. He needs to be sitting at the help desk to answer questions and etc. Bruce is worried about the quality of downloading the software when it gets out to the field whether it will work or not. For example there have been some applications that would not come up. These hard drives would need to be tested (125). New ArcGIS software will be coming out – we are getting dinged because we are slow on the deployment of the software. The hard drive is with Daniel and we need to get it from him. GMS upgrade fix is the newest software on Daniel’s hardware – there are a few bug issues. AutoCad 2006 will come out in four to five months. If there is noting new on the hard drives then why should they bother on trying to distribute anything? ArcGIS 9.1. was distributed late summer. Daniel was just testing this and wanted to get all the software on them. Distribute all of the software on the hard drives instead of on the CD’s that have been sent out. Speak to Lou about sending out every TIPS hardware on the hard drive and pull off the stuff that each person would need. Why are we busting out backs to redistribute if we are sending out the old stuff? Daniel to send the disc and copy it to the hard drives. The issue is the reproduction and what about round two?
ArcCad / AutoCad will be distributed but who knows when because of the enterprise addition
Another way of doing the distribution, have the users create the new directory from the CD distribution to their hard drives. Round two hard drives to be redistributes. Might be able to batch file it, so it can be distributed it that way. Will they be getting the hard drives back? The answer is Yes.. Second distribution, return first, then re-do old ones for third distribution.
The main issue is do we wait until the new version of ArcGIS comes out? There is always a risk that this may not work. New software may cause problems.

Bill Card - We would not be having this level of discussion with the volunteers if we minimized the group. Meaning that if participation is restricted, the contributions of others will diminish, possibly resulting in the loss of significant ideas.
